Refund Policy - the basics

A Refund Policy is a legally binding document that defines the terms under which you may offer refunds to your customers. It helps clarify the expectations between you and your clients regarding cancellations, rescheduling, or refunds for services.

For online businesses selling products, a refund and return policy is often required by law — depending on the country or region — in order to comply with local consumer protection regulations.

Even if you're not legally required to provide refunds, having a clear policy in place can protect your business and help avoid disputes or legal claims from dissatisfied clients

What to include in the Refund Policy

  • No Online Payments Clause
➤ Clearly state that your website does not process payments online.

  • Cancellation Window
➤ Define how much notice a client must give to cancel or reschedule (e.g., at least 48 hours before the scheduled service).

  • Non-Refundable Services
➤ Mention that consultations, travel time, and prep work are non-refundable once confirmed or started.

  • Partial or No Refund Conditions
➤ Say that late cancellations (e.g., under 48 hours) may result in no refund or a partial refund depending on the case.

  • Service Rescheduling
➤ Offer one-time free rescheduling, if done within the allowed notice period.

  • Refund Method
➤ Clarify that refunds (if granted) will be processed through the original payment method or via bank transfer.

  • How to Request a Refund
➤ Provide an email or contact method for clients to request a refund or discuss an issue.

  • Right to Refuse Refund
➤ Include a clause saying that you reserve the right to refuse a refund if terms are not met or service has already been delivered.

  • Custom Agreements Override
➤ State that specific refund terms may vary depending on individual written agreements with clients.
